Meta Business Agent can be activated on the WhatsApp Business app in under 10 minutes. You configure it with your business information, set your handoff rules, and the agent starts responding to customers automatically. This guide covers every step from activation to first live conversation, including how to train the agent effectively and what to set up before going live.

Note: Meta Business Agent is rolling out gradually. The option may not be visible in your app yet. Update WhatsApp Business to the latest version and check Tools in your app. If the option is not there, it has not reached your account yet.


Before You Start: What You Need

  • WhatsApp Business app updated to the latest version (Android or iOS)

  • An active WhatsApp Business account with a verified business profile

  • Your business information ready: products or services, pricing, hours, policies, frequently asked questions, and location

The agent's quality is directly tied to the quality of the information you give it. Before activating, prepare a clear, accurate summary of what your business does and the most common questions customers ask. This is your knowledge base.


Step 1: Open the WhatsApp Business App and Find the Agent

Open the WhatsApp Business app on your device.

On Android: Tap the three-dot menu in the top right corner, then tap Settings, then Business tools. Look for Meta Business Agent in the list.

On iOS: Tap the Tools tab at the bottom of the screen. Look for Meta Business Agent in the list.

If you see the option, tap it to begin setup. If you do not see it, the feature has not reached your account yet. Check again after the next app update.


Step 2: Activate and Authenticate

Tap Get started or Set up Business Agent.

If prompted, authenticate your account and confirm your business details. For businesses that have linked their WhatsApp to a Meta Business Manager, the authentication step uses your existing credentials.

Confirm your business name and phone number when presented. These become part of how the agent identifies itself in conversations.


Step 3: Add Your Business Information (Knowledge Base)

This is the most important step. The agent answers based on what you add here. Thin or inaccurate information produces unhelpful responses. Detailed, accurate information produces responses that sound like a knowledgeable member of your team.

What to add:

Business description: What your business does, who it serves, and what makes it distinctive. Keep this to two or three clear sentences. Example: "We are a tour operator based in Nairobi offering safari packages across Kenya and Tanzania. We specialise in private group safaris and handle everything from park permits to accommodation."

Products and services: List each product or service with a brief description and price range where applicable. The more specific the better. "Safari packages from $350 per person per day" is more useful than "affordable safaris."

Frequently asked questions: Write out the 10 to 15 questions your customers ask most often, with clear answers. Check your WhatsApp chat history to identify the real questions that come up repeatedly. Every question you add here is one the agent can answer accurately without human intervention.

Business hours and location: When you are open, where you are located, and how customers can visit or contact you by means other than WhatsApp.

Policies: Return policy, cancellation policy, payment methods accepted, delivery areas. Any policy a customer might ask about before making a purchase decision.

Website and catalogue link: If you have a product catalogue or website, add the URL. Meta can use this to supplement the agent's knowledge.


Step 4: Configure Weave (Meta's No-Code Builder)

Meta's configuration interface is called Weave. It provides a visual flow builder for setting up how the agent responds.

Within Weave you can:

  • Set the agent's tone (formal, conversational, friendly)

  • Define the agent's language(s). For African businesses, set your primary language and any secondary languages your customers commonly use

  • Configure welcome messages that appear when a customer first contacts your business

  • Set what topics the agent handles and what it defers to a human

Set the tone to match your brand. A clinic should sound professional and reassuring. A food delivery business can be more casual and quick. The agent will reflect whatever tone you configure.


Step 5: Set Human Handoff Rules

The agent works best when it knows its own boundaries. Define clearly when it should hand off to a human:

Hand off for:

  • Complaints or escalations where a customer is unhappy

  • Requests that require access to account-specific information the agent does not have

  • Any purchase above a certain value where a human close is more appropriate

  • Medical, legal, or financial queries where professional judgement is required

  • Anything the agent explicitly does not know

Stay in the agent for:

  • Common product or service questions with known answers

  • Hours, location, pricing

  • Booking requests where the agent can handle the flow end-to-end

  • FAQ responses

When setting handoff rules, be conservative initially. It is better for the agent to hand off more than necessary in the first week while you observe its responses. Tighten the boundaries once you are confident in its accuracy.


Step 6: Test Before Going Live

Before the agent starts responding to real customers, test it thoroughly.

From a separate phone number (not your business number), send your own WhatsApp Business number a series of test messages that cover:

  • The most common questions from your FAQ list

  • An edge case the agent should not know (verify it hands off correctly)

  • A complaint or upset tone message (verify handoff rules trigger)

  • A booking or purchase request (verify the full flow)

  • A question in a secondary language if you serve multilingual customers

Review each response. If the agent gives an inaccurate or unhelpful answer, go back to Step 3 and add or correct the relevant information in your knowledge base. Repeat the test until you are satisfied with the accuracy.


Step 7: Go Live

Once testing is complete, enable the agent in your settings. From this point, inbound messages to your WhatsApp Business number will be handled by the agent first, with human handoff triggered according to your configured rules.

Monitor the first 48 to 72 hours closely. Review conversations where the agent handed off to a human — these tell you where your knowledge base has gaps. Update accordingly.


Training Tips for African Businesses

Use the language your customers actually speak. If your customers predominantly write in Swahili, Twi, Pidgin English, or French, add FAQ responses in those languages. The agent responds in the language the customer uses, but it answers more accurately when your knowledge base includes content in that language.

Add mobile money payment details explicitly. If you accept MTN MoMo, M-Pesa, Orange Money, or Airtel Money, add specific instructions: which code to send to, what reference to use, and what happens after payment. Payment questions are among the most frequent in African consumer markets.

Include local context. If you serve specific neighbourhoods, districts, or regions, name them explicitly. "Do you deliver to Westlands?" is a common question type that requires location-specific answers the agent will not know unless you add them.

List your actual hours in local time. State the timezone clearly. For businesses in Kenya, Ghana, or Nigeria, write "9am to 6pm EAT / WAT / WAT Monday to Saturday" not just "9 to 6 weekdays."


What Happens After August 1, 2026?

From August 1, 2026, Meta Business Agent replies are charged on a per-token basis at approximately $2.00 per million tokens, roughly 4 to 5 cents per typical message. This means the agent's free window is also the best window for learning what your real monthly usage looks like before the cost begins.

Use the activation period now to run the agent through a full representative month of your normal conversation volume. This gives you an accurate cost projection.


Limitations to Know Before You Go Live

The agent only handles inbound conversations. It cannot send broadcast campaigns to your customer list. For outbound messaging to opted-in contacts, you need the WhatsApp Business API. No CRM integration at self-serve tier. Conversations stay within Meta's ecosystem. If you need WhatsApp conversations to update your CRM, trigger order management systems, or connect to external tools, the API tier is required.

Setup is on mobile only. You cannot configure Meta Business Agent on WhatsApp Web. Use your Android or iOS device for all setup and configuration.

Task-specific only. Since January 15, 2026, Meta requires all WhatsApp AI agents to be task-specific, not general-purpose. Configure your agent for a defined set of business functions. A general "ask me anything" agent is not compliant and risks having your number restricted.
