Two Ways to Move: Coexistence or Full Migration
Before starting, decide which approach fits your situation.
Coexistence: Your number runs on both the WhatsApp Business App and the API simultaneously. Your physical phone keeps working exactly as before — existing chats remain accessible, you can still use the app, and your Intelli inbox receives and sends on the same number at the same time. This is not just a transitional feature; many businesses operate in coexistence as their permanent setup. It is the approach that involves the least disruption.
Full migration: The number moves entirely to the API. The WhatsApp Business App stops working for that number. Existing chat history stays on your device but is no longer active. Choose this only if you want a clean break and have no reason to keep the app running.
Before You Begin: The Prerequisites
1. A verified Meta Business Manager account
The WhatsApp Business API is accessed through Meta Business Manager. You need a verified account at business.facebook.com before you can register a number on the API.
Verification requires your business registration certificate, a domain email address matching your business website, and your business address. Meta typically reviews documents in 2 to 5 business days when documents are correct. A name mismatch between your Meta Business Manager name and your registration certificate is the most common delay.
2. A WhatsApp API platform account

3. Back up your chats (for full migration only)
If you are doing a full migration rather than coexistence, back up your chat history before starting. In coexistence, this is not necessary — your chats remain accessible on your phone throughout.
On Android: Go to Settings, then Chats, then Chat Backup. Enable Google Drive backup and run a backup.
On iOS: Go to Settings, then Chats, then Chat Backup. Tap "Back Up Now" to save to iCloud.
4. Disable two-step verification on the Business App
Go to Settings, then Account, then Two-Step Verification, and disable it before starting. This applies to both coexistence and full migration.

Coexistence is enabled during the number registration process in Intelli. The Full Migration Process (if not using coexistence)
Step 1: Log into your Intelli account and navigate to the number setup section.
Step 2: Enter the phone number you are migrating. The system will confirm it is currently active on WhatsApp.
Step 3: Request the verification code via SMS or voice call. Once requested, the number begins migrating. The WhatsApp Business App will stop working for that number shortly after. Do not request the code until you are ready to complete the migration in one session.
Step 4: Enter the verification code in your Intelli platform to register the number on the API.
Step 5: Set your display name. This is what customers see in conversations. Meta reviews display names and most are approved within 24 hours.
Step 6: Configure your platform — AI assistant knowledge base, team inbox, message templates, contact list, and any integrations.
After Setup: What to Prioritise in the First 48 Hours
Whether you chose coexistence or full migration:
Get at least one message template approved. You cannot send business-initiated messages until you have an approved template. Submit a simple utility template first — an appointment reminder, order confirmation, or welcome message. See our template approval guide.
Note: For newly created WhatsApp Business API accounts, Meta may take longer to approve the first 2–3 message templates while the account establishes initial trust and review history. Initial approvals can take up to 24 hours per template.
