How to Use WhatsApp Business on Two Phones at the Same Time

You can use WhatsApp Business on up to 5 devices simultaneously using the multi-device feature, with one primary device and up to 4 linked companion devices. All devices share the same inbox and can send and receive messages without the primary device being online. However, this feature has meaningful limitations for growing businesses, and for teams of more than two or three people managing customer conversations, the WhatsApp Business API is the more practical solution.


The WhatsApp Business Multi-Device Feature

WhatsApp introduced multi-device support to allow one account to be used across several devices without requiring the primary phone to stay connected. This works for both the personal WhatsApp app and the WhatsApp Business App.

Here is how to set it up:

On your primary device (the phone where the Business App is installed):

  1. Open the WhatsApp Business App

  2. Tap the three-dot menu in the top right corner

  3. Select "Linked Devices"

  4. Tap "Link a Device"

  5. Authenticate with your fingerprint, face ID, or PIN when prompted

  6. A QR code scanner opens

On the second device (the phone or tablet you want to link):

  1. Open WhatsApp on the second device (if it is an Android or iOS device, install the WhatsApp app first)

  2. Go to Settings, then tap the "Linked Devices" or "Link a Device" option

  3. Scan the QR code displayed on your primary device

The second device is now linked. You can repeat this process for up to 4 companion devices.

What each linked device can do:

  • Send and receive files, images, and documents


The Important Limitations to Understand

Before setting up multiple devices, these limitations will affect how useful this arrangement is for your business.

All devices see all conversations. There is no assignment system, no way to route a conversation to a specific person, and no visibility into who responded to what. If three agents are linked to the same WhatsApp Business account, all three see every message and any of them might reply without the others knowing. This creates confusion and missed follow-ups.

No analytics. You have no data on response times, message volume, or individual agent performance across any of the linked devices.

The linked device limit is 4 companions. Once you have 5 people in a team managing customer conversations, you have run out of device slots.

Tablets and desktop computers can be linked but not as primary devices. WhatsApp Web and the WhatsApp desktop app can be linked as companion devices but a mobile phone must always be the primary.

If the primary phone is lost, the account is at risk. All companion device access is tied to the primary phone. Losing or replacing the primary phone requires re-linking all companion devices.
